A practical update to appointments.
- Bookings in Queensland clinics land on the right day during daylight saving. From October, a booking, reschedule or "next appointment" made from the week view in a Brisbane clinic was saved to the day before, so Wednesday's patient sat on Tuesday — in this app and on the web. The day you tap is now the day that's saved, whatever the clocks are doing in Sydney. Appointments already affected can be put back in one pass by support; nothing else about them changes.

- Take a Medicare, DVA, HealthPoint or workers-comp payment from the invoice itself. The invoice you raise after an appointment now shows your Tyro funders as buttons across the payment section. Pick the funder, finalise, and the claim lodges — instead of saving the invoice, finding it again in the patient file, and naming the funder a second time. Funders you've set up one way (DVA, Comcare, icare) go through on a single click; Medicare and HealthPoint offer only their own two transaction types, and the button then shows which one is armed.

- Your complete online booking flow can now live directly on your website. Settings → Online Booking → Link & Embed now lets you copy either the existing booking-button code or a full-width booking widget for a dedicated page. The full widget stays isolated from the website's styling, adjusts its height as patients move through booking, and includes placement instructions for the common website builders.
- Removing a family link now always stops messages going to that person. When someone was set to receive a family member's reminders and confirmations, unlinking them could quietly leave that arrangement running — with nothing on the Family tab to show it, their emails kept going to the removed person. Every way of removing a link now cleans this up, the system double-checks the relationship still exists before every send, and setting or clearing who receives a patient's messages is now recorded in the audit log — who changed it and when. "Now 18 — convert to self-managed" also genuinely stops the parent receiving the new adult's messages, which it previously only appeared to do.
- Exercise programs can now explain themselves to the patient. A new Patient context section on the program editor records the condition, why the program was prescribed, the goal, and any precautions — alongside the prescriber's name and role — kept separate from your internal notes, which stay staff-only. Daily adherence now also distinguishes "attempted" from "completed" (partially-done days show in orange) and records the patient's own effort score next to their pain score.
- The WorkCover session progress bar can no longer overfill. When more sessions had been used than were approved, the bar drew past its end; it now caps at full and the used/approved count still shows the real numbers.
- Replying YES to a waitlist text now actually books the spot. If your clinic shows friendly YES / PASS wording in waitlist offers rather than codes, a patient replying YES was never booked in — and got no reply either way, so they believed they had the appointment. PASS worked, which is why it went unnoticed. YES now books the slot, and a patient whose reply can't be matched to a current booking always gets an answer instead of silence.

- Cancelling an icare claim now tries the second route icare supports. If icare knocks back the cancellation of an individual claim, Lumii automatically retries by cancelling the whole invoice — the method icare documents for workers-insurance claims — instead of stopping at the first refusal. When it still can't be cancelled, you see icare's own explanation rather than a generic error. Same-day cutoff (5pm) and permissions are unchanged, and no other funder is affected.
- Team meetings now block out everyone's diary — without touching your booked patients. Schedule a one-on-one, a team catch-up or an all-staff meeting, pick who's coming (practitioners and support staff, in person, by video, or a mix), and Lumii holds that time in each practitioner's appointment book so reception can't book over it. If someone already has a patient in that slot, Lumii leaves the patient exactly where they are, blocks out the rest of the window, and tells you who clashed and with whom — so you can move the meeting or reschedule that patient yourself. Find a time everyone's free searches the next fortnight's diaries and ranks the options for you, including what each one would cost if nothing is completely clear. Meetings can repeat weekly, fortnightly or monthly; staff accept or decline; and after the meeting you can write up minutes and assign action items, which land as a notification for whoever they belong to. Meeting time also appears on any practitioner's connected Google Calendar.
- Hold a cancelled slot before the waiting list hears about it. Waitlist → settings now has a Wait before texting control (straight away, or 2 minutes through to 2 hours; 2 minutes by default). A cancellation is held for that long before anyone is offered it, giving reception time to rearrange it — or to block the time out because the practitioner would rather leave it open, which now cancels the text instead of racing it. Previously this hold existed only for staff-entered cancellations, was fixed at 2 minutes, and couldn't be seen or changed anywhere.
- A patient can no longer be booked into a time you've blocked out. If a slot was blocked on the roster (leave, training, a one-off block) after the waitlist text went out, replying YES still booked the patient in and told them they were confirmed. They're now told the time is no longer available, kept on the waiting list, and sent the next suitable time instead — the same answer they already got when someone else beat them to a spot.
- Reuse a saved template when you email an invoice. The Email Invoice box now has a Templates button. Pick one of your saved email templates and its wording is added to the message, with the patient's name, the invoice number and the amounts already filled in — so nobody retypes the same covering note. It adds to whatever you've already written rather than replacing it, so you can top-and-tail a template or stack two of them. If you haven't made any templates yet, the button says so and points you at Marketing → Templates.
- What you type on an invoice email now actually reaches the patient. Anything written in the Message box was being left out of the version most patients' mail apps display, so a personal note simply vanished. It now appears at the top of the email, above the invoice summary. Editing the subject line had no effect either — Lumii sent its own regardless; the box is now filled with your clinic's invoice-email subject when the sheet opens, and whatever is in it is exactly what sends.

- The reorganised screens now point you to the right place. After last release's reshuffle a few signposts still named the old locations: the two-factor lockout screen sent Owners to Settings → Team, the telehealth survey pointed at a section that had been renamed, and the "needs attention" dot for family link requests still sat on Settings instead of the Online Inbox. All corrected, and that dot now covers online registrations and submitted forms too, so one badge tells you the whole inbox needs a look.

- Settings has been reorganised — here's where things went. Long lists have become tabbed screens so you're not scrolling to find a setting: - Compliance moved off the top bar into Settings → Clinic & Account. - Waitlist moved off the top bar into Settings → Appointments → Patient Communications → Waitlist. The board itself is unchanged, and the virtual receptionist view still opens it directly. - Form Inbox is now Online Inbox, and gathers everything patients send in: Forms, Portal Accounts and Family Links, each as a tab with its own count so you can see which queue needs you. Portal Account Reviews and Family Link Requests have moved out of Settings → System into it. - Reminders & Confirmations is now Patient Communications, with tabs for Confirmations, Reminders, Waitlist and Recalls. Patient Recalls moved in. - Online Booking is now Link & Embed, Appearance, Booking Rules and Services instead of one very long page. - Users & Security now holds Team and Team Analytics as tabs. Staff who can't manage users still see the team list, where they used to hit a permission wall. - Gift Vouchers is now Gift Vouchers and Passes, with a tab for each. - WorkCover is one section with tabs for Billing, Item Codes, Remittances and the Unassigned Inbox, instead of four separate entries. - External Access and Clinic Documents moved from Staff to Clinic & Account. - Reports opens on Business Intelligence (was "Operational dashboards"), with the Library second. Old links and shortcuts to the moved sections still work — they open the new screen at the right tab.
- Every telehealth setting is now in one place. Settings → Appointments → Telehealth used to show only the call-quality dashboard, so consent wording, the waiting room, join links, pre-call reminders, session length, recording retention, the post-call survey and the pre-visit questions couldn't be changed from Lumii at all. They're now editable across General, Patient Experience, Recording and Call Quality tabs. Recording only appears for practices with that add-on, and turning off "require the patient's consent" now warns you that recording without agreement isn't lawful in Australia.
- Team Meetings tells you what it needs. The button used to disappear entirely for practices without telehealth switched on — invisible to exactly the people who might want it. It now stays put and explains that Telehealth must be turned on first.

- Patients can cancel online again. Cancelling only ever worked for patients who had booked while signed in — a booking made as a guest, or one your reception took over the phone, showed a Cancel button that always failed. It now works for any appointment that's genuinely theirs (or a linked family member's), and your cancellation notice period is finally applied: inside the window the page explains the rule and points them to the phone instead of failing at the tap.
- A waiting-list patient who misses out is offered the next suitable time. If someone replies YES and the spot has gone, Lumii now searches ahead for the next time that fits what they asked for — practitioner, days, time of day — and texts it to them. If there's nothing suitable, they're told they're staying on the list.
- The myLumii app now shows every free column too, the same fix as online booking and Find Times.
- Online booking now offers every free column. The same column fix as Find Times, in the patient-facing booking page: for a practitioner running more than one column, one booking was hiding that time across all of them, so days with hours of space showed patients nothing at all. Each column is now offered on its own — one clinic's Wednesday went from no available times to four.
- Online booking shows the right day for patients away from home. Times and the calendar's available-day dots were built from the wrong day's book when a patient's phone or laptop was set to a different timezone from the clinic — which is what produced "that time was just taken by someone else" on times the page was still offering.

- A waiting-list patient always hears back. Replying YES now gets either a booking confirmation or a plain "sorry, that spot went — you're still on the list" reply. Previously a reply that arrived after the offer window closed could go unanswered, and patients arrived for appointments they never got.
- Waiting-list bookings land in the column that actually opened. They were always written into the first column regardless of which one was freed, so staff had to move them by hand — and if that first column was busy, the booking doubled up on an existing patient.
- A waiting-list spot the clinic fills by hand is no longer double-booked. The system now checks the appointment book itself before confirming a reply, not just whether another waiting-list patient beat them to it.
- Find Times now offers every free column. For a practitioner who runs more than one column, a booking in one column was hiding that time in all of them — so Find Times could skip past a day with obvious space in the book and offer something weeks later instead. Each column is now considered on its own. Blocked-out time and lunch still close every column they cover.
- Patient replies to SMS reminders are registering again. For part of 9–10 August some replies were lost on arrival, so a patient who answered NO to a reminder could still be left booked in. The cause was on our side and is fixed — no update needed for it, and nothing was lost from your own records. Any reply sent in that window may not have been actioned, so it's worth a look at that day's confirmations.
- The installer window reads cleanly again. The download's drag-to-install window was printing "Lumii" and "Applications" twice — once as part of the artwork and once as the actual icon names macOS draws underneath. Only the real ones remain.

- Windows open at their proper size again. In 0.9.65.00 every window that opens over the app — a patient file, an invoice, a booking — came up as a narrow column instead of the size it was meant to be, with the buttons along the top and the row of tabs cut off the right-hand edge. They now open at their full width, still resize freely, and still shrink to fit a smaller screen or a smaller Lumii window rather than clipping.
- The appointment hover summary stays in front. Resting on an appointment in a busy column showed the summary card behind the booking next to it, so most of it was hidden. It now sits in front of the appointments around it. The appointment underneath still drags and resizes exactly as before.

A practical update to NDIS, billing, appointments and telehealth.
- After generating an NDIS progress report, Lumii now offers to bill the report-writing time in one tap — plan-review reports are NDIA-requested reports, so the writing time is claimable against the participant's plan, and it was easy to forget. Skippable, never automatic.
- Mixed-management NDIS participants' invoices no longer get stuck: a new "Set routing" action lets you choose whether the invoice goes to the NDIA portal, the plan manager, or the participant, with plain-language guidance for each.
- New NDIS safeguards: an alert when a budget is projected to run out before the plan ends (while there's still time to adjust frequency), an urgent alert when a configured item code is no longer in the current catalogue (before the portal rejects it), an expired service-booking alert, and a payments-reconciled summary on the alerts feed after every NDIA response import.
- Very large NDIS bulk-payment exports are now stored reliably (no size ceiling surprises), and reconciliation imports got faster for clinics with long claim histories.
- NDIS goals can now be formally linked to validated outcome measures (PSFS, NDI, PHQ-9 and more). Linked measure scores flow into the plan-review report under their goal — so the report shows "measured disability fell 18 → 8" as evidence for the specific goal, not just a narrative. Every goal now shows its evidence health at a glance, the clinical-note editor flags goals with no recent evidence so you can close the gap while writing today's note, the report screen shows exactly which goals the report can speak to before you send it, and Lumii alerts you when a plan review is approaching with goals that have no recorded evidence.

- Lumii now warns you before NDIS sessions become too old to claim. From 1 December 2026 the NDIA only pays claims lodged within 90 days of the service date — Lumii now flags any participant with billable work still uninvoiced after 60 days, and escalates at 75, so revenue never quietly expires.
- NDIS short-notice cancellations are now measured the way the NDIA actually measures them — in clear business days, skipping weekends and your state's public holidays — instead of a flat 48 hours. A Thursday-morning cancellation of a Monday appointment now correctly offers the cancellation charge; the old rule silently gave those up.
- NDIS billing now follows the NDIA's new 2026-27 claiming rules (in force since 1 July 2026). Cancellations, non-face-to-face time, provider travel, report writing and telehealth are claimed against the NDIA's new suffixed item codes automatically — under the old format these claims would have been rejected by the portal. Telehealth appointments now bill against the new dedicated telehealth items, and the built-in price list has been updated to the official 2026-27 rates (Psychology up $20/hr, Dietetics and Exercise Physiology down, Art and Music Therapy re-based by the NDIA).
- The NDIS bulk export now refuses to generate a file the myplace portal would reject: over-limit files (more than 5,000 claim rows) are blocked with guidance to export in smaller batches, obviously mistyped item codes are flagged before export, and the export screen's format guidance (including a warning not to re-save the file in Excel) has been corrected.
- Travel claims now respect your configured per-trip travel cap (30 minutes each way in metro/regional areas, 60 in MMM 4-5 remote areas), and multi-discipline practices can pick which discipline a travel claim belongs to instead of Lumii silently using the first one.
- Fixed: when a parent and their children all had appointments on the same day, the family reminder text could leave the parent out — and because it went to the parent's phone, replying YES confirmed only her own appointment while the children silently stayed unconfirmed. The reminder now covers everyone in the family on that day in one message, and a single YES confirms all of them. Replying NO still cancels only what that message asked about.
- Fixed: sharing your screen in a telehealth call now shows the Lumii app itself. Previously a full-screen share broadcast everything except Lumii (patients saw a blank hole where your appointment book was), and Lumii's own windows never appeared in the window picker. You can now share the appointment book, a patient file, or any other Lumii window directly — the call window itself stays hidden so patients never see their own video echoed back.
- Fixed: practitioner utilisation is now measured against each practitioner's actual rostered hours. Previously a fully-booked practitioner could read as "average" because the maths assumed a longer working day than they actually offer (and counted parallel columns as extra hours to fill). Utilisation now comes from one engine everywhere — the appointment-book day bar, dashboards, Business Intelligence, reports, and AI insights all agree — appointments squeezed in outside rostered hours no longer distort the figure, and a practitioner whose roster has no hours set shows "set roster hours" instead of a misleading 0%.
- New: a Weekly Capacity calculator in each roster's Settings tab. As you edit working days and hours it shows, live, how many bookable hours and appointment slots (at your chosen appointment length) the roster provides per day and per week — so you can see exactly the capacity your reports and utilisation figures will be measured against.
- New: "No Future Appointments" report (Reports → Operational dashboards → Patients). Every patient seen in the period who currently has nothing booked, with their last visit, practitioner, and contact details — the front desk's rebooking call sheet.
- New: "Cancellation Summary" report — cancellations rolled up by reason, who cancelled, practitioner, weekday, and service, each with a late-notice (<24h) count, so patterns worth acting on stand out from the longer list.
- New: "Front Desk Activity" report — bookings made, rebookings taken, reschedules, cancellations processed, and tasks completed per staff member, so you can compare reception performance and focus training where it helps. (Reschedule counts start accruing from this version.)
- New: invoices — including paid ones — can now be edited after the fact: fix a wrong item code or description, adjust a price, or reclassify a manually recorded payment's method (e.g. EFTPOS keyed when the patient paid cash). Clinic Owners can grant this through a new "Edit paid invoices" permission; until then, it remains Owner-only. Every change requires a reason and is written to the audit log with before/after details, and payments that came through Tyro, Stripe, vouchers, passes, or Xero stay locked to protect the money trail.
- New: you now control whether online booking shows appointment lengths. Settings → Online Booking → Service Durations turns the "30 min" labels on or off clinic-wide, and each service can override that either way in its Appointment Type settings ("Follow clinic setting / Always show / Never show") — so you can hide durations generally but still advertise one service's length, or the reverse. Applies to the service list, length options, add-on time chips, and the confirmation screens; staff always see durations in Lumii itself.
- Improved: asking the AI insights bar about a specific practitioner now answers with that practitioner's own utilisation, sessions, revenue, rebooking and no-show figures rather than clinic-wide averages.

- Fixed: invoices that already existed in your Xero organisation before Lumii connected — entered manually or imported from a previous system, with payments applied — no longer fail to sync over and over. Lumii now recognises the existing Xero invoice (same number, same total) and links to it, so your Sync health clears without double-entering anything. If the totals don't match, the invoice is set aside with a clear message asking you to reconcile the two records rather than being retried endlessly.
- Fixed: two patients booked at the same time now BOTH show in week view. Previously the week only ever drew one appointment per start time, so a double-booked slot looked like a single booking — the second patient was invisible until you opened the day. Overlapping appointments now sit side by side in the day's column, and this covers partial overlaps too (a 9:00 hour-long visit alongside a 9:30), which were hidden the same way.
- Hovering an appointment in week view now shows the same detail card the day view shows — patient, time, flags, notes, billing and visit history — after resting on it for a moment.
- New: Lumii now tells you when a patient has no signed consent form. A "Consent not signed" flag appears on their appointment in the book, and a banner on their patient file. It uses the consent forms you've built yourself (any form with its type set to Consent), and a patient counts as covered once they've completed any one of them. Clinics that don't use consent forms see nothing.
- Fixed the flurry of Mac permission pop-ups on launch. Since the last update, opening Lumii could trigger a run of "Lumii wants to use your confidential information…" dialogs, some naming apps that have nothing to do with Lumii — on every launch. Lumii no longer touches anything outside its own stored credentials, and the pop-ups stop. If you clicked Deny on any of them, nothing was affected and there's nothing to undo.

- New patients who get both the intake-form text and an appointment reminder now receive them a few seconds apart instead of in the same second. A patient reported getting the reminder but not the paperwork link; the paperwork text had been sent, and her phone network never confirmed delivering it. Australian networks are known to filter bursts of texts carrying links, so Lumii now spaces the pair. Nothing changes for you — both messages still go out, 24 hours before the appointment.

A practical update to patient access and security.
- New: each practitioner can now be linked to their own governing body and code of conduct. In the practitioner's Compliance tab, choosing a practitioner type now shows the body that governs that occupation — every Ahpra National Board (physio, chiro, osteo, psychology, dental and the rest) plus the self-regulated bodies like ESSA, Speech Pathology Australia, AASW, Dietitians Australia, PACFA/ACA and the massage and natural-therapy associations. Where an occupation has more than one credible body (massage, counselling, naturopathy…), the practitioner picks theirs, and Lumii plugs in that body's rules: one-click links to its code of conduct, practice standards, the Ahpra public register and advertising guidance. Multi- disciplinary clinics see the right code for each practitioner — an exercise physiologist gets ESSA's code, a chiropractor gets the Chiropractic Board's, side by side.
- New: the practitioner-type list has grown from 38 to 63 occupations — including myotherapist, remedial massage therapist, audiologist, orthoptist, music and art therapists, genetic counsellor, diabetes educator, behaviour analyst, hypnotherapist, play therapist, lactation consultant, doula, yoga and Pilates teachers and personal trainers — each pre-wired to its governing body and a sensible CPD default.
- Improved: registration language is now honest per body — an Ahpra number is labelled as statutory registration, while ESSA accreditation or an association membership is labelled exactly that (with a reminder that the state code of conduct for unregistered practitioners still applies). This matters for Ahpra's advertising rules, which prohibit presenting a voluntary credential as government registration. Sonographers and dental technicians, previously grouped under Ahpra, are now correctly classed as non-Ahpra occupations.
- Fixed: Accept & join clinic on an invite did nothing for anyone who signed up through the emailed link. Lumii was refusing the join until the invitee had separately confirmed their email address — and then displaying that reason in a part of the page that isn't on screen once they're signed in, so all they saw was the button flicker. Two changes: the invited person is no longer asked to confirm an address Lumii already emailed them at (holding the invite link and signing in as the invited address is the proof, as it is with Slack or Google Workspace invites), and any refusal now appears where they're actually looking. Invites accepted this way work first time. Worth knowing: this makes an invite link as sensitive as a password — whoever holds it could join as that person — so re-send a fresh invite if you're unsure where an old link ended up. Invitees still confirm their email address when they set up two-factor authentication in the app.
- Setting up two-factor authentication no longer gets stuck on "this operation requires recent authentication". A Lumii window that's been open for a while no longer counts as a recent sign-in, and setup used to stop there with an error and no way past it — which could strand a staff member who left it until their seven days ran out. Lumii now asks you to confirm your password and carries straight on with setup.

- A staff member locked out by the two-factor deadline can now ask for help from the lock screen. Ask my clinic Owner for help notifies every Owner of the clinic, naming the person and the exact steps to reset them from Settings → Team; if the locked-out person is the clinic's only Owner, Lumii support is notified instead. The request lands in the Owner's Lumii notifications — and as a push on devices where they've turned those on — so nobody has to sit on a locked screen with no way to raise their hand. The screen also names the account it's locked to, and the setup sheet now always has a way back if enrolment can't be completed.
- New: family-link requests can no longer sit unseen. When a patient asks to link a family member through the portal, a red dot now appears on Settings in the top bar the moment the request arrives, and hovering it tells you how many are waiting. On iPhone, the menu button carries the same dot and the Settings row in the menu shows the count. Previously the approval queue lived three levels deep (Settings → System → Family Link Requests), so nothing advertised a backlog unless someone was already in Settings for another reason — requests could wait days without anyone knowing they existed.

- Lumii no longer lodges a claim for a patient the funder has already failed to match. If a Medicare or DVA verification came back not-matched and nothing has changed since, claiming is refused with the funder's own reason rather than sending a claim that would sit unpaid. Correcting the patient's details lifts it straight away.
- A rejected claim now always shows why. The funder's reason was being hidden behind the benefit and gap figures on claims that still carried an amount, so a rejection could show numbers but no explanation.
- Claim statements now show what the patient has actually paid. On a Medicare patient claim — where the patient pays you and Medicare reimburses them — the statement was printing a patient gap for a visit already paid for by card.
- A claim can now be re-checked with Tyro at any point, including after it's been rejected, paid or cancelled. Re-check with Tyro on the claim asks the funder for the current outcome and updates the claim, the invoice balance and the statement to match. Previously a claim that reached one of those states was frozen: the reconcile option was hidden and the hourly background check skipped it, so if the recorded outcome was ever wrong there was no way to put it right from within Lumii. The reconcile screen is also reachable now on those claims, for recording an outcome the funder settled with you directly.
- Fixed: a claim the funder rejected line-by-line now shows as rejected, and the invoice shows the full amount still owing. Medicare and DVA can knock back the individual service lines while the claim as a whole still looks open — when that happened Lumii left the claim sitting on "Outstanding" and, worse, counted the benefit the funder was never going to pay as money received, so the invoice under-stated what was owed. Both the status and the balance are now correct. Existing affected claims correct themselves the next time Lumii checks with the funder.

- Claim statements can now be read on screen. Open any invoice with a Medicare, DVA, Comcare, icare or HealthPoint claim and there's a Statement button alongside the other invoice actions — it opens the statement so you can actually look at it, with Print and Save PDF inside. Previously the only way to see one was to save a PDF and open it in another app, and the button that did it sat in small text next to the claim, where it was easy to miss entirely.
- Waiting list: you now set when the waiting starts, not just when it ends. Adding someone to the list gives you a From date — leave it today, or push it forward for a patient who's away until the 20th, and they won't be rung about anything before then. Until is now a straight choice between a date and their next appointment. Both ends can be changed later from the patient's entry, including switching between the two — previously "until their next appointment" could only be set when they were first added.
- Waiting list: the Minimum Duration setting is gone. The service you pick already has a length, and having both meant two answers that could disagree. Pick a service and Lumii looks for openings of exactly that length; pick "Any service" and anything long enough to book your shortest service will match.
- Fixed: ticking "until their next appointment" when adding someone to the waiting list wasn't saved — they quietly got a standard 30-day entry instead.
- Fixed: changing a patient's preferred days on a waiting-list entry they'd created themselves through online booking had no effect on which openings they were offered. Their original choice kept being used.
- Tidier patient file. The cards on a patient's Overview now line up as a proper grid — paired cards share a bottom edge instead of each stopping wherever its own content ran out. On iPhone the Overview drops to a single column, so email addresses, addresses and the default-practitioner name are readable instead of squeezed and broken across lines, the appointment counts stay as one row of four rather than a tall stack, and the marketing-consent options read in full instead of being cut to "Soft…" and "Opt-…".
- New: send your appointment reminders as one batch at a time you choose, instead of one at a time through the day. Each row in your reminder schedule now offers a choice — the existing Hours before option (each patient hears from you 24 hours before their own appointment), or Set time of day: pick a time such as 8:00 am and how far ahead (on the day, the day before, or up to a week), and the whole of that day's book goes out together. Most practices find the batch easier to work with — tomorrow's patients are all texted before the front desk opens, and reception knows exactly when replies will start arriving. You can mix the two: an 8 am batch the day before, plus a rolling two-hour nudge for anyone who hasn't confirmed. Batches run on your clinic's own clock and respect your quiet hours. Nothing changes for existing schedules — they keep sending exactly as they do today until you switch a row over. There's a new 8am day before preset if you want it in one click.
- Fixed: patients opening your booking widget from the "See available times" button on your website couldn't scroll to the bottom of longer screens. Anything past the height of the popup — the rest of the personal-details form and its Save button, the lower part of the appointments list — was cut off with no way to scroll to it, so patients could start updating their details but never finish. The popup now scrolls properly on every screen and every device size.
- Fixed: a patient tapping Book could land on an empty screen if their family-link details failed to load. Booking for yourself never needed that information, so it now carries on regardless and tells the patient what was skipped.
- Much faster, lighter loading — especially for larger practices and teams with several practitioners. Signing in no longer pulls the whole practice's history before the dashboard appears; the appointment book no longer re-reads every practitioner's roster on each open; opening an invoice or joining a telehealth call no longer loads your entire patient list; switching back to Lumii from another app no longer re-queries; and saving the day's bookings no longer briefly hitches the interface.
- Creating a new clinic, joining as an external assistant, and setting up two-factor authentication are all substantially quicker, and no longer look frozen while they work. These screens used to sit on a single unchanging label for several seconds with no spinner; they now name each step as it happens ("Creating your account…", "Building your clinic…") and the slowest part of each — a security check that ran behind the scenes — has been sped up.
- Fixed: setting up two-factor authentication no longer opens on a dead end. Confirming your email address is required before an authenticator app can be added, but most people had never been sent the confirmation link — new clinic owners weren't emailed one at sign-up, and neither were staff members added by an Owner. The link is now sent automatically, and once you open it (on your phone is fine) setup carries on by itself — no returning to Lumii to tell it you're done.
- New: if your email address hasn't been confirmed yet, Lumii now says so at the top of the screen with a resend button, rather than letting you find out only when you go to set up two-factor. Since two-factor becomes compulsory after a week and can't be set up without a confirmed address, this is worth knowing early. It disappears by itself once you open the link — including when you open it on your phone.
- Fixed: a patient whose email was entered with any capital letters could never be matched to their own portal account. Their registration went to the Portal reviews queue with no suggested match, and if it was resolved by creating a new record, the patient ended up signed in to an empty account — no appointments, no invoices, no family — while their real file sat untouched. Email is now stored consistently, so these link themselves.
- Family link requests now show a count in Settings when patients are waiting for you to approve a link. The queue sits several levels down and previously gave no sign anything was waiting, so requests could sit for a long time while the patient assumed the link had been made.
- Portal reviews now shows a count on the Patients screen when someone's portal sign-up is waiting to be matched to their file. These used to be visible only if you caught the notification when it appeared — and an unmatched sign-up means that patient is logged in to an account showing them nothing, so it's worth seeing.
- Fixed: if the patient portal can't load someone's linked family, it now says so and offers a retry. It used to show "No family members linked" instead — the same screen a patient with no family sees — so a temporary problem looked like their family had been unlinked. It could also show only some of the family without any sign the rest was missing.
- Linking family members now enables shared online booking by default, so a family you link in Lumii actually shows up in each other's portal and can be booked together. Previously the switch started off, and the portal reported "0 linked" and offered no family booking even though the link was there — with nothing on screen to explain it. The switch is still on the link screen if a particular pairing shouldn't have booking rights. Links you created before this update keep their current setting; edit the link to turn it on.
- Fixed: family members linked by approving a patient's request now show by name in the portal instead of "Linked person".
- Fixed: booking online no longer attaches the booker's portal login to the wrong file. Someone booking for a child or partner for the first time had their own login quietly attached to that person's record, and a patient booking under a slightly different email got a second record competing with their real one — either way the portal could then open the wrong file, or an empty one. A new record is only tied to the person booking when it's clearly their own first record with you.
- Fixed: merging two patient records no longer breaks the surviving patient's portal login. If only one of the pair had portal access, that access now moves to the record you keep. Previously it was left on the record you merged away, and the patient was locked out of their account entirely at their next sign-in.
- Fixed: a bulk-billed invoice now records what Medicare actually paid. If your fee for a bulk-billed item sits above the MBS benefit — say you charge $80 for an item Medicare pays $45.05 on — the invoice used to show the whole $80 as received and $0.00 owing. It now shows the $45.05 benefit received and the difference as a bulk-bill adjustment the practice has absorbed, so your collected revenue is right.
- The difference is never treated as patient debt: it's excluded from what a patient owes, from pay-online links and payment reminders, from bank-transfer details, and the printed invoice reads "BULK BILLED — NOTHING TO PAY". Under assignment of benefit the patient can't be charged it, so nobody should ever be asked. Only the part Medicare was actually billed for counts — a private service on the same invoice is still owed by the patient as normal.
- Fixed: a back-dated claim now records the date of service, not the date you lodged it. If you changed the service date on an invoice line before claiming, the claim statement, the review-before-lodge summary and the Medicare assignment-of-benefit record all showed today's date instead — even though the claim itself was correctly lodged (and paid) against the real service date. Claims covering several visits now show the full span.
- Fixed: when a funder declined a claim, Lumii sometimes showed a bare "Claim declined." instead of the funder's own explanation. The funder's message now always comes through.
- Fixed: the "Medicare card update advised" banner didn't appear when Medicare returned the card code as part of its decline message rather than as a structured status. The advisory now surfaces wherever the code arrives.
- Fixed: re-lodging a claim added another payment row each time instead of replacing the one still in flight, and each row was sized to whatever balance the previous attempt left — so four attempts on one invoice could read as fully paid against a single funder benefit. A re-lodgement now supersedes the in-flight claim, and a funder claim is always recorded at the value of the services claimed rather than the amount left owing.
- New: a "Lodge Claim" button on any invoice that has already been claimed, so a rejected claim can be corrected and re-sent. Previously re-lodging depended on the invoice still having a balance, which meant a bulk-bill claim that settled to zero left no way to claim again at all — short of raising a duplicate invoice.
- Fixed: after correcting and re-lodging a rejected claim, the invoice could keep showing the old rejected claim instead of the new one. It now always shows the most recent claim for that invoice.
- Claim statements now show the referral evidence in full: the supporting text lodged with a non-standard or indefinite referral period ("REFERRAL PERIOD 4 MONTHS"), and — where a claim was lodged under a no-referral exception — a "NO REFERRAL" block naming the exception and the reason given. Previously a claim lodged under an exception looked identical on paper to one with no referral details at all.
- New: claim review now warns you when a patient's referral won't be lodged because the treating practitioner is registered with Tyro as General Practice — a GP attendance claims as an unreferred service, so the referral is deliberately left off. Previously it was dropped without a word, and the claim and its statement came back with no referral on them.
- Claim statements now name the scheme instead of saying "Funder benefit" — a Medicare claim reads "Medicare benefit", a DVA claim "DVA benefit", and so on. Where the benefit didn't reach the fee, the statement shows the uncovered amount rather than implying the fee was fully covered.

A practical update to NDIS, billing and appointments.
- Fixed: importing appointments, invoices, notes, care plans, or documents can no longer create duplicate patient records. Rows are now matched to your existing patients — including when the old system's file numbers don't line up — and anything that can't be confidently matched is skipped with a clear reason instead of quietly creating a new patient.
- Fixed: a Tyro claim the funder rejected on the spot could still show a "submitted successfully" message and record a payment against the invoice — rejections now show the funder's reason clearly and leave the invoice owing.
- Fixed: lodging a Medicare Patient Claim after taking the patient's card payment was blocked with "enter a valid amount" — the claim now lodges regardless of the remaining balance.
- Fixed: card/HealthPoint payments started from Tyro's checkout page now always include the invoice edits made just before paying (extra charges, price changes) without needing a manual save first.
- Fixed: error messages from Medicare, DVA and workers-compensation claims now show the funder's actual reason instead of a generic message that sometimes pointed at the wrong cause.

- Fixed: changing an invoice's date and then lodging a Tyro claim straight away could submit the claim with the old date — the claim now always uses exactly what's on screen, including a just-edited invoice date.
- Claim review now warns you when a patient has both a referral and a "no referral" exception on file for Medicare or DVA — previously the exception silently won and the referral was left off the claim without any indication.
- Fixed: editing a family member, a medication, a scan result, a treatment plan, and 20+ other "Edit" buttons sometimes opened an empty form on the first click — all now open fully populated every time.
- Fixed: dragging a field from the palette into the form or note-template builder was slow and jerky on long forms — drags now track smoothly.
- Fixed: "Print statement" on a just-submitted claim did nothing — the save dialog now always appears.
- New: invoice cancelled and missed appointments. Set a cancellation fee item and a missed-appointment fee item (Settings → Billing → Cancellation & Missed Fees), optionally matching the original appointment's price, with the offer defaulting on inside your notice window. The cancel dialog and a new "Did Not Attend + invoice fee" action handle it in one step, and every fee invoice is created as a draft for review.
- New: per-service cancellation fee overrides for funder-mandated codes (e.g. NDIS) — set on each billing service.
- New: NDIS short-notice cancellations can be billed to the participant's plan (claim type CANC with the reason code) straight from the cancel or DNA dialog, honouring your NDIS cancellation policy settings.
- New: cancelling an appointment paid with a pass can now return the visit to the pass, or keep it used as the cancellation charge.
- New: an automation action "Invoice missed appointment fee" — automatically invoice every Did Not Attend (NDIS participants excluded; bill those via the DNA dialog's plan path).
- New: Lumii now checks for updates when it opens, so you're offered new versions before signing in rather than mid-session.
